Outdoor Session Agreement


Welcome and thank you so much for choosing Triple Vision Studios – Photography by Amanda Gates for your next fun session. I am very excited to capture a moment in time that you will cherish forever. This page has been created for you to review the terms and details of your session and help to answer any questions you may have and fill you in on what to expect.

In the meantime, please review this online digital agreement. This is to confirm and agree to your session details until your physical contract can be signed in person at your photo session.



Outdoor sessions are very special and the end results are beautiful, but a lot goes into making sure your session is successful and worth your time and money. Children are difficult to work with when it comes to photos outdoors due to them wanting to play, explore, or check things out, as well as other distractions. Do not set high goals or expectations for your children, as they are going to do what they want to do, regardless. Be positive and happy no matter what, the minute they feel stressed or pressured they will shut down and the session will be over.

You booked a mini or a full Outdoor Session. The time for your session will be monitored and the session will end promptly depending on what you booked. If I get the shots I need to meet the requirements of your session or the participants no longer cooperate, I will end the session. If you are late, that will cut into your scheduled time. Please plan to arrive early to make sure everyone is ready to go at the start time of your session.

Number of images per session is not guaranteed and will depend on participation of clients.



The day of your session it is a good idea to pack a small a bag of things you may need during the session and that will help the children have a better experience. Here are some suggestions:

Spray Bottle, Gel, and Bobbie Pins
Comb and/or Brush
Drinks and Snacks (nothing messy, no chocolate or sticky items)
Toys or things your younger children smile at
Tissues or Wipes
Diapers and Clothes
All other Accessories

While props are fun, they can be a pain. I love props and may have some on site to use, however you are more than welcome to bring unique, personalized or general props to add to your session. You may also want to bring some ideas to show me what you want. That’s always welcome!



It is most helpful if the parents stay at a distance and let me try to gain the focus of the participants so everyone is looking in frame. I strive to keep the session as stress free as possible and will often have another photographer present to help assist me in making sure everything runs smooth. Breaks may be taken to ensure children do not get frustrated or overwhelmed.

There will be lots of walking to keep the family moving. I do not shoot the entire session, some parts of the session are for posing, drink breaks, potty breaks, and other various things that may happen during the session. Rest assured I am getting the shots I need to complete the session.

In the event that no photos are taken due to participant behavior, the photographer has the right to reschedule the session at her discretion and accompanied by a reschedule fee. A lot of time, planning, and travel goes into each session. Sessions will not be refunded at any time should the number of expected photos not be met due to participants showing up late or not cooperating as needed to get the required shots.



During our session you can expect to not be rushed unless you show up late, I like to take my time and get to know my clients, even the little ones and the ones that cannot talk. I often hug and cuddle to bring the family aspect into my on-location experiences. I want everyone at ease, even those dads who hate picture day, I want them to leave loving their experience too. With families and children you can expect both posed and candid shots.

Please expect to take breaks! I do not shoot the entire session time, some of the time is used for planning, set up, communicating with clients and to tend to the needs of small children. Infants need to eat and get love periodically, toddlers have meltdowns or fits, young children get fidgety, ALL OF THIS IS OKAY! I will help you through picture day. To help with moments like these make sure you have plenty of food for infants, snacks for young children and items of interest for those not participating. We can never have enough options and you never know what is going to work and what won’t, so plan ahead. It’s always a good idea to bring an extra set of hands to hold infants, help make kids laugh and chase after those who want to be a little wild. Sometimes kids do better laughing at someone they know verses a stranger they just met.



Families and Children

-accessories, hats, jewelry, scarves, etc
-avoid everyone wearing solid colors, unless its white shirts and jeans
-avoid matching outfits, see albums for examples of what other families have put together
-avoid clothing with prints and patterns including logos and harsh graphics
-color always makes your photos pop, so focus on a contrast color within your wardrobe choice
-props – if you have something special to your family like a banner, sign, heirloom, etc, bring it so we can personalize your images

There are SO many ideas online; pinterest, google images, and more. There isn’t one correct answer for how to dress for your outdoor session. I would spend some time researching clothing and plan ahead, don’t wait until the last minute or you will be stressed. Most outdoor sessions allow for an outfit change, so plan accordingly and the fastest way to change quickly.



ALL sessions are not guaranteed until a deposit of 50% is received. Once deposit is received NO REFUNDS will be given for any reason. If you need to reschedule for any reason you must give as much notice as possible in order to transfer funds to another day at photographer’s availability. Any sessions not rescheduled with at least 5 days notice forfeit all monies paid. There is a NO CANCEL policy. Sessions can be rescheduled but not canceled. If clients no shows or cancel their session no monies will be refunded for any reason.

Final balance is due ONE DAY prior to photographer traveling to location site. If final balance is not received photographer is not responsible for attendance.

Photographer may reschedule at anytime without giving refund for the following reasons; personal or family health issues, accidents, equipment malfunctions, bad weather of more than 10mph winds or rain, temperatures not suitable for photography, or other necessary reasons. Photographer will contact client with as much notice as possible should this take place.



Session Fee DOES NOT include prints or digital images. Product is purchased separately.
Prints, Product and Digital Images are NOT required beyond the session fee, however, all sessions have a minimum required print purchase to receive digital images at no additional cost. Each session type varies. Once minimum print purchase is received you will receive a link to download your digital images in high resolution for your personal use including a print release. You will have 14 days to place your print order to receive your digital images, after the expiration date the download of digital images can be purchased at the digital rate below.


You can locate canvas pricing on my website, all canvas orders are placed separately through photographer to ensure proper print and quality.



Session Fee Includes:
-Pre-session phone/e-mail/message/text consultation (optional)

-Photographer’s time and talent and use of props and backdrops (photographer often buys unique props for each session so be sure you mention items you may want during consultation.)

-Online proofing gallery including a variety of professionally edited images. Your online gallery will be e-mailed to you once editing is complete and will be viewable for the duration of our business relationship. Number of edited images depends on subject participation and length of session. Number of edited images is not guaranteed and is at photographer’s discretion. Editing times vary based on time of year and busy seasons. NO refunds are given at anytime for any reason. Reschedules must take place at least 5 days in advance to guarantee you won’t lose your session fee, but rather transfer it to a new date.



Please acknowledge that you have read and understood this agreement by sending an Email to amanda@triplevisionstudios.com within 72 hours of receipt. Your session is NOT confirmed until your email is received. Your deposit is processed and no refunds will be granted for any reason. You will sign a physical contract upon meeting photographer to which this agreement is summarized, however in the meantime this will act as your agreement to said terms.
